Project Management

Our role is to manage and control scope, cost and quality over the life cycle of the project. Pro-spec provides project management services for all project phases from planning through to handover. We outline the main aspects of project management below to give you an insight into our role as project managers on a typical construction project:
Establish Client Objectives:
Our business is built upon achieving the needs of our clients. The most important part of achieving a positive outcome for our clients is the establishment of their objectives, i.e. what do you want to achieve at the end of this project?
We begin the project management process by developing a list of client objectives, “Key Performance Indicators”.
Typically, the following is a list of KPI’s/client objectives:

Develop a building to the highest quality in line with planning, design drawings and specifications.

Ensure cost certainty and good value for money.
-
Complete the project within the agreed.
-
Include the use of sustainable materials where applicable.
-
Ensure health and safety compliance throughout.
We use these KPI’s as a benchmark and track each KPI throughout the project to ensure compliance at all stages.
Design Stage
There are typically four stages to the design process. Following successful appointment of the design team, we will then
assist our client in the following stages:

Concept Design - Liaise with the Client and Architect throughout the concept design process. We provide
initial budget guidance and construction timelines.

Schematic Design - We typically meet with the client to review the initial plans, we discuss client
proposals, products and finishes in detail. At this stage we incorporate value engineering where possible by
simplifying such details and finishes to provide cost savings.

Detailed Design - Once detailed design is complete, We arrange work shops with the design team to discuss
all construction details. We highlight any practical concerns and challenges at this stage.

Contract Documents - Once the design drawings and specifications are frozen, Pro-Spec move forward with
the preparation of the tender documentation.


Pre-construction Stage
The pre-construction period incorporates the various tasks required to prepare the project for the construction phase.
We meet regularly with our clients during this phase and work towards completing the following:

Detailed project schedule.
-
Site logistics and phasing plan.
-
Full pricing document (Bill of Quantities).
-
Liaison with the Architect, BER Assessor and Utility suppliers.
-
Submit commencement notice to County Council.
-
Liaise with various builder providers and suppliers to set up client accounts.
-
Carry out role as PSCS (Project Supervisor Construction stage.
-
Submit relevant health and safety documentation to the HSA.
-
Prepare site health and safety statement and insurance policies.
Construction Stage
With the design and preconstruction phases now complete, the project then moves forward to the construction phase with
the budget and project timelines agreed with the client. Project management of the construction phase involves the
following:

Day to day site management of project team.
-
Development of daily schedules in line with the project schedule.
-
Communicate with the client and stakeholders, re budget, progress, schedule, quality.
-
Procurement of project team and subcontractors.
-
Ensure compliance with drawings, specifications and building regulations.
-
Account management of suppliers and subcontractors.
-
Management of health and safety during the works (PSCS).
-
Take off/measuring of materials for ordering.
-
Design review and co-ordination of specialist design package.
-
Quality Assurance/Quality Control.
-
Liaise with Architect including site progress meetings to look forward and problem solve.

Agree final accounts and close out packages.


Handover and closeout Stage
With the construction phase nearing completion, the final stage involves handover of the project to the end user/client.
Our experienced team will ensure:
-
Highest level of quality is achieved on completion.
-
Final air and acoustic tests take place, in accordance with project specifications.
-
Conduct snagging walkthroughs with our clients and design team.
-
Prepare and issue snag lists to all parties.
-
Ensure final snagging of all trade packages is completed and packages are closed out.
-
Testing and commissioning of mechanical and electrical equipment.
-
Handover file prepared and issued to the client and design team.
